Get started
- Make sure you have the latest version of Pages, Numbers, and Keynote.
- To access your templates and themes across all your devices, make sure that you’re signed in to iCloud with the same Apple ID, and iCloud Drive is turned on for Pages, Numbers, and Keynote.
- To use iCloud to access your templates and themes across all your devices, make sure that your iPhone or iPod touch uses iOS 12 or later, your iPad uses iOS 12 or later or iPadOS, and your Mac uses macOS Mojave or later.
Use templates and themes on your iPhone and iPad
Create a Pages or Numbers template, or a Keynote theme. When you add it to the Template Chooser or Theme Chooser, it appears on all of your devices that are signed in to iCloud with the same Apple ID and use iCloud Drive with Pages, Numbers, and Keynote.*
Create a template or theme
- Open an existing document to base your template or theme on, or create a new document.
- Customize your template or theme. You can add and format text, images, and objects. You can also set media placeholders so you can easily replace images without affecting the formatting of your document.
- To save your template or theme, tap the More button , tap Export, tap [App name] Template or Theme, then tap Add to Template Chooser or Add to Theme Chooser.
After you save your template or theme, it appears in the My Templates section of the Template Chooser in Pages or Numbers, or in the My Themes section of the Theme Chooser in Keynote.
Share a template or theme
- Open the Template Chooser or Theme Chooser, then tap My Templates or My Themes.
- Touch and hold the template or theme, lift your finger, then tap Share in the menu that appears.
- Choose an option to share your template or theme.
Set a media placeholder
With placeholders, you can define areas in your template or theme where you can quickly add an image or movie.
- Add an image to your document.
- Tap the image.
- Tap the Format button , tap Image, then tap Set as Placeholder.
Rename a template or theme
- Open the Template Chooser or Theme Chooser, then tap My Templates or My Themes.
- Touch and hold the template or theme, lift your finger, then tap Rename in the menu that appears.
- Enter a name, then tap Done.
Delete a template or theme
When you delete a template or theme, it is removed from your other devices that use iCloud Drive with Pages, Numbers, and Keynote.
- Open the Template Chooser or Theme Chooser, then tap My Templates or My Themes.
- Touch and hold the template or theme, lift your finger, then tap Delete in the menu that appears.
- Tap Delete to confirm.

- Choose File > Save as Template or Save Theme, then click Save.
- Choose where you want to save your template or theme, then click Save.
- Use the Finder to navigate to the location where you saved your template or theme.
- Control-click your template or theme, choose Share, then choose Mail or another option to share your template or theme.

Set media and text placeholders
With placeholders, you can define areas in your template or theme where you can quickly enter text or add an image or movie.
- Enter text or add an image or movie.
- Select the text, image, or movie.
- Choose Format > Advanced, then choose Define as Placeholder Text, Define as Text Placeholder, or Define as Media Placeholder. In Keynote, you can define text placeholders only when editing master slides.
Rename a template or theme
- Open the Template Chooser or Theme Chooser, then click My Templates or My Themes.
- Control-click the template or theme, click Rename, then enter a new name.
- Press the Return key to save the new name.
Delete a template or theme
When you delete a template or theme, it is removed from your other devices that use iCloud Drive with Pages, Numbers, and Keynote.
- Open the Template Chooser or Theme Chooser, then click My Templates or My Themes.
- Control-click the template or theme, then click Delete.
- Click Delete to confirm.

* Templates and themes you create appear in the Pages, Numbers, and Keynote apps on your devices, but not on iCloud.com.
If you create a presentation that you want to use again as a model for other presentations, you can save it as a theme. Creating your own theme can be as simple as adding your company logo to an existing theme, or you can design a completely new theme.
You can add your custom themes to the theme chooser, save them as a file to share with others, and use them in Keynote on your Mac, iPhone, or iPad. Custom themes that you create on your Mac are grouped in the My Themes category of the theme chooser and are shared across all your devices.
Save a presentation as a theme

If you’re signed in to iCloud and have iCloud Drive turned on when you save your custom theme, it’s available across your devices (but not in Keynote for iCloud).
With the presentation open, choose File > Save Theme (from the File menu at the top of your screen).
Click an option:
Add to Theme Chooser: Type a name for the theme, then click Choose. You can see the new theme on all your devices as long as you’re signed in to iCloud and have iCloud Drive turned on when you save the theme.
Save: Type a name for the theme, then choose where you want to save it.
If you want to email the theme to others, save it to your computer. You can attach the theme file to an email message.
Install a theme from another source on your Mac
You can install a custom theme that you received as an attachment by adding it to the theme chooser in Keynote.
Note: If you created a custom theme and chose Add to Theme Chooser while signed in to iCloud, it’s already installed on all your devices and available in the My Themes category of the theme chooser. See Save a presentation as a theme.
Double-click the theme file (it has the filename extension .kth), then click Add to Theme Chooser.
You can set Keynote to always open a new presentation from the same theme instead of from the theme chooser. Choose Keynote > Preferences (from the Keynote menu at the top of your screen). In the General pane, select “Use theme,” then click Change Theme to select a theme.
Rename or delete a custom theme
If you’re signed in to iCloud and have iCloud Drive turned on, deleting a custom theme deletes it from all your devices.
In the theme chooser, Control-click the theme name, then choose Rename or Delete.
If you’re renaming, type a new name, then press Return.
Custom themes always appear in the My Themes category in the theme chooser, in the order in which they were added. You can’t rearrange them.

Edit a custom theme
After you save a custom theme you created, you can’t edit it. However, you can use it as the basis for a new theme.
Keynote Presentation Themes
Choose File > New, then double-click the theme you want to use as the basis for a new theme.
Custom themes appear in the My Themes category in the theme chooser. If you want to use a custom theme that doesn’t appear there, you must first install the custom theme (see the instructions above).
Make your changes, choose File > Save Theme, then choose an option to save the presentation as a new theme.
You can delete the old theme after you create the new one.
